Why Orchestra?

Why does Orchestra work for shareholders?

We've chosen to use Orchestra because they give our Shareholders (you) the tools you need to manage your portfolio in one convenient place. With Orchestra, you can track all share transactions and enjoy easy access to all the latest important communications and company documents from Moana.

Why am I being asked to use Orchestra?

We've asked you to join Orchestra as you are a shareholder of Moana New Zealand. We've chosen to use Orchestra as a way to manage our share registry and important communications and relationships with you. Through Orchestra, Moana will be able to manage our relationships with investors more effectively and, in turn, provide a better investor experience for you.

Setting up your account

How do I create an account on Orchestra as an investor/shareholder?

As a Moana New Zealand shareholder, Orchestra is completely free for you and only takes a few simple steps to get started.

Since you are an investor/shareholder for Moana, you will be invited to join Orchestra by email. If you haven't seen this email, you can still create an account from the homepage of the Orchestra website.

I received an error message when trying to create my account.

Did you receive an error message "Sorry, something went wrong. Please try again." when trying to signup to Orchestra?

There are a couple of things you can try:

Older versions of internet browser software sometimes don't run modern websites seamlessly.

Open the internet browser on your device and check for a software update. If there's an update available, download it and relaunch your browser software.

Please visit the Orchestra website and try again to create your account.

Alternatively, you can try signing up to Orchestra on a different device. E.g. if you're on a laptop, you might like to try signing up on your mobile phone.

If you're still getting an error message, please contact Orchestra.

What is Multi-Factor Authentication (MFA)?

You can add another layer of security to your Orchestra account by using MFA. Orchestra offers three options for MFA:

  • Google authenticator
  • Mobile authentication
  • Email authentication

When enabled, you'll either receive a unique security code via text or email to verify it's you trying to log in, or you'll have to enter a code from the Google authenticator app, depending on what form of MFA you select.

How to set up MFA?

To set up MFA, navigate to your Orchestra account page by clicking on your account icon at the top right of the page and selecting 'My account'.

Select 'Enable MFA' in the Multi-factor authentication box at the bottom of the page. You can select the method of authentication you'd like from the three options that appear.

  1. Google authenticator

If you select Google Authenticator, you'll need to download the Google authenticator app on your mobile phone or tablet. Once it has been installed, open the app and select the plus icon in the bottom right of the screen (iOS) or open the settings for the app and click "Add account" (Android), select 'Scan a QR code' and scan the QR code that is displayed on Orchestra. Once the QR code is scanned, enter the verification code generated by the app and select 'Update account details' below. If you cannot scan the QR code, select 'Can't scan it?' and follow the steps on the page.

  1. Mobile authentication

If you select Mobile authentication, click the 'Send code to...' button to send the unique verification code to your mobile phone, enter this code in the box below and click 'Update account details'. You will now receive a text with a unique verification code whenever you log in to Orchestra.

  1. Email authentication

If you select Email authentication, simply click 'Update account details', and your MFA has been set up. A unique verification code will now be sent to your email whenever you log in to Orchestra in the future.

Backup Codes

There is also an option to generate Backup Codes. These codes will also work when prompted for your MFA verification code at login after setting up MFA. Store these in a secure location as they can be used to access your account.

When selecting 'Update account details' to set up any of the aforementioned MFA methods, you may be prompted to add a country code to the phone number field in the contact details box at the top of the page. If so, simply click the dropdown to the left of your phone number and select the appropriate country code (Aotearoa’s is  +64)

Changing your MFA method

You can change your MFA method at any point as long as you are logged in. To do this, simply navigate back to your account page, select a different MFA method, and follow the relevant steps described above.

Quick how-to guides

How do I access company documents on Orchestra?

Moana may use the Orchestra Documents feature to share important company documents with you securely. These documents may include confidential shareholder updates, shareholder resolutions, a shareholders' agreement, and documents that are individual to you, such as dividend statements.

To access your company documents, please log in to Orchestra. Select the company that you would like to see documents for.

From your left side menu, select Documents.

You can view the documents contained within individual folders by clicking on the arrowhead icon.

Click on a document name to view.

How do I add my custom field information to Orchestra?

Moana may request extra information from you to improve the shareholder experience from time to time. We will store this information in a custom field for you.

Since Moana pays a dividend, this information may include a bank account number, resident withholding tax (RWT) rate and IRD number.

To view or edit your custom field information, log in to Orchestra, click on your shareholder name, go to your left side menu, and select 'Custom fields'.

Custom fields that are greyed out are editable by company Administrators only. If the information they are storing for you is incorrect, please get in touch with Moana to request that we update it.

You can edit white custom fields after you've entered your information; click on the blue 'Update' button to save.

Custom field information is stored with Moana and can be accessed by Moana’s Administrators and any additional users connected to the investment entity.

Different companies you have invested in will set up their own custom fields for storing stakeholder information.

How do I reset my password?

To reset your Orchestra password please visit this link:

https://www.orchestra.co.nz/login

Click on the link for Reset password.

Orchestra will then prompt you to type in your email address and send you a link to your email to reset your password.

You should receive the password reset email within 5 minutes. If you don't receive the email, please check your spam or junk folder.

Can I give extra users access to my shareholder?

There are times when you may want to give additional users access to a shareholder. Some examples include:

  • a trust being managed by multiple trustees
  • a joint shareholder
  • a partnership
  • a company where multiple people need visibility of the shareholding

To give extra users access to a shareholder login to Orchestra.

Click on the entity that you would like to manage user access for.

Click on the User access button to manage Orchestra users that have access to the entity. You have the option to add users or delete an existing user.

If you add a new user and they already have a login to Orchestra, they will receive an email inviting them to view the shareholder on their Orchestra dashboard.

If you add a new user who hasn't set up an Orchestra account yet, they will receive an email inviting them to get started on Orchestra with a free account.

If you are a company administrator who would like to add extra users to a shareholder, please contact Orchestra.

How do I change my bank account?

To change your bank account details, you’ll need to follow the DocuSign process. We’ve put this process in place to make sure this important information is kept and changed as safely as possible.

To follow the DocuSign process, you first need to fill out the bank account detail change form (in Orchestra documents). Next, you will need to get two Directors to sign if off.

How do I get a statement of holding for my shares?

A statement of holding is a summary of shareholding and includes important details such as the number of shares or options granted.

To download your statement of holding for any shareholdings you have listed on Orchestra, please log in to your account.

The overview page shows your investment entities. Click on the investment entity you'd like to get a statement of holding for (e.g. Moana)

Choose the company your investment entity has shareholdings in to access your Dashboard.

From your Dashboard, click on Shareholdings from your left side menu.

Click on the Statement of holding button. Your statement will open in a new tab, and you can download it as a PDF file.

The statement of holding includes the name of the company, the class of shares held by the shareholder, and the number of shares held by the shareholder, so it covers the requirements for a share certificate for investors.

The official legal record of investor shareholdings is the entry on the company’s Share Register. If there are any inconsistencies between the Statement of Holding and the company’s Share Register, then the register will prevail.
